BMW Club of Canada
Annual Meeting
February 4, 2003
9:00pm-11:00pm EST

Present: Bluenose (Laura Arthurs with George Garner); Quebec (Phil Abrami); Ottawa (Chris Pawlowicz); Trillium (Gerry Low with Evan Weaver); Southern Alberta (Kip Keylock with John Herbst); Mainland BC (Rolf Drommer); Vancouver Island (David Saville-Peck)

Absent: Northern Alberta (Tracy Deslaurier) BMW Canada (Kevin Marcotte)

New Directors were welcomed: Laura Arthurs & Kip Keylock. Tracy Deslaurier will be representing Northern Alberta.

Motion: Waive first quarter dues owed by the regional clubs to National. Passed 6-0.

BMW CC decals are ready and will be mailed to the regional clubs shortly. This set of decals will be free.

Insurance: We now hold all our insurance (CGI, D& O, & event) with Jones Brown. Our agents are Kevin Besta and Carrie Claremont. All correspondence and contact info was previously distributed but we hope to also place this in a restricted area of the national web site. Directors will formulate questions regarding insurance and we will post them and the replies in an FAQ on the national website.

Website & communication: The national web site was transferred to a new domain hosting service in November of 2002. This service provides more options at a competitive price. It also included 2 years of domain renewal.
As a result of the new service, we have been able to include new features such as an electronic forum for members, a do it yourself classified ad section, and an electronic calendar accessible by chapter execs and directors. Entries for club events posted in this calendar are hot linked to the site home page, and are also available on the calendar page.
In addition a new photo gallery is being added. This will also allow chapter execs and directors to post event photos from club events. Chris is also looking at how to have a 'file download area password protected, for forms, graphics, logos, etc. although they might just live in a forum

All the changes to the web are aimed at increasing club awareness. Clubs should provide information they would like presented about their club to Chris or Rolf, and we will ensure that chapter pages are updated

International Council: Spartanburg meeting was unexpectedly cancelled by Mobile Tradition with two weeks to go. Despite assurances of reimbursement, it has taken months to recover out-of-pocket expenses.

Motion: BMW CC will underwrite the eligible expenses of our participant(s) guaranteed by International Council until they are reimbursed in full. Passed: 5-0 with 1 abstention.

BMW Canada: Phil has spoken with Kevin Marcotte on numerous occasions to build a better relationship with BMW Canada and the club. Inquires included ways we can help one another; in our case this includes attracting new members. There has been a lack of interest and action on the part of BMW Canada, it appears.

Phil will draft a memo, circulated to National Directors, for forwarding to Hendrik Von Kuhnheim, the CEO. Phil will also try to follow that up with a meeting.

Advertising: It was agreed that we will make up a new set of membership brochures for use by the regional clubs and possibly include a membership questionnaire. Rolf, Chris and Laura will look into this.

David Saville-Peck will explore car magazines doing articles on BMWs to try to get a plug in for the club.

No decision was taken on a larger multimedia campaign

Computer: The Directors agreed to purchase a used iMac (approximately $500) for the National Secretary/Treasurer.

Elections: The following Officers were nominated for 2003:

Abrami (President)
Pawlowicz (Vice-President)
Drommer (Secretary/Treasurer)

Vote: 6-0 in favor.

The meeting adjourned at approximately 1:00pm EST.
