Board of Directors Meeting Minutes
BMW Club of Canada National Directors Conference Call
Monday, February 2 9:00-11:00pm EST

All Directors were in attendance with the exception of Kip Keylock who sent his regrets.

Welcome and President's Report (Phil Abrami)

Phil Abrami welcomed new Director Roger Harmston and the other Directors introduced themselves. Phil thanked Rolf Drommer for his extraordinary efforts on behalf of the BMW CC. Phil gave several highlights from his perspective as President including: a) his election as VP (Automobiles) of the International Council of BMW Clubs and the increased profile of BMW CC in the International Council; b) his visits to many of the chapters across Canada in 2003; and c) our good relationships with BMW Canada.

Secretary/Treasurer's Report (Rolf Drommer)
Budget Recap ­ We have approximately $20K in the bank and another $20K expected from BMW Canada (please refer to budget recap in the appendix.)
Memberships-Our membership is currently 1750 members having grown from 1308 in 2001 and 1450 in 2002.
Websites-A web-hosting grant of up to $500 was applied towards each chapter for their websites. We will work with Vancouver Island on theirs. National website is strong; input welcome.
Chapter fees to National-Based on our financial situation it was moved that the annual chapter dues for 2004 be waived (passed unanimously).

Insurance Issues
Type of schools-Rolf will explore with Kevin Besta at Jones-Brown the different types of schools we can hold (e.g., safety, driving, etc.) and see if we can get different rates for each. Gerry Low will report back to the Directors on combining insurance with CASC for track events.
Incident Reports-Rolf will distribute draft forms to the Directors from CCA and others. We will ask all chapter Chief Instructors to complete the forms, keep one copy, and submit a second copy to National.

Driving Committee Report
Manual(s)-The electronic version of the BMW CC Students' Manual is available on the National website. Rolf will send the URL to all Directors. Rolf, Roger and Gerry will form a committee along with invitees from each chapter to look at manual revisions, an instructor manual, and teaching videos, including materials received to date from Calgary and Nova Scotia. The committee will consider developing a set of driving school guidelines and recommendations (e.g., instructor training, curriculum, safety requirements, passing, etc.).

Relationship with BMW Canada
BMW Magazine-The article and insert have appeared ad we are getting inquiries. Phil will continue to pursue this membership angle with Kevin Marcotte.

M Night-We continue to work with BMW Canada on this event. We still are willing to explore other forms of collaboration (e.g., Show & Shines).

International Council
Club Support-Phil will continue to make the case that Mobile Tradition and BMW AG should encourage national distributors to promote the club through print and web media.

Conflict of Interest/Written requests for logo use-Laura and Roger moved that we request written permission to use the BMW CC logo (passed unanimously). Phil to draft letter.

International Ofest 2006 at Mt. Tremblant-Chris and Gerry moved that we plan to host an International Oktoberfest with CCA and MOA at Mt. Tremblant in 2006 (passed unanimously). Chris will serve as our chief organizer working to insure we have involvement from all chapters across Canada.

International Council Meeting in BC-(Rolf and Roger moved that we invite International Council to hold a future meeting in BC with both regional chapters jointly involved (passed unanimously)
Friends of the Marque-Phil will circulate the nomination forms. A founding member's name has already been suggested as a candidate.

Canadian Chapters of BMW MOA

Phil has had correspondence with Ray Zimmerman of MOA regarding their Canadian chapters. The Directors will receive an update when it is received. The feeling was that we should pursue a linkage with these chapters through MOA.

 

Support for Vancouver Island Chapter
Roger reported that their AGM would happen soon. They hope to renew themselves with a base of 25-30 members and build to their old status (~105) plus. They have money in the bank. Roger was appreciative of the enthusiastic support offered by BMW CC and the Vancouver chapter to make their success a reality. Help with the website is a first priority.

BMW CC Merchandise

Rolf and Gerry will get quotes on BMW CC grill badges and the Directors will decide which one to offer to chapters.

Election of 2004 National Officers

The incumbents were elected by acclamation: President (Phil Abrami), Vice President Chris Pawlowicz) and Secretary, & Treasurer (Rolf Drommer)
